Administrative Assistant
We are currently seeking a dedicated individual who will play a pivotal role in supporting our church's day-to-day operations. As part of our team, you will be responsible for tasks such as managing church communications, ensuring office efficiency, and contributing to our vision of inviting friends into family. This position is full time with benefits.
Major Responsibilities:

Answer the church phone during office hours.
Stock and organize all cleaning supplies and office supplies.
Act as the church point of contact for all maintenance contracts (Orkin, mats, cleaning, trash, etc.).
Collection, counting, and deposit of the weekly offering.
Transfer the offering from the GIVE boxes to our safe on Sunday morning.
Count the offering on Monday morning with another non-Pastoral staff member.
Invoices sent directly to the church
Mileage reimbursements
Personal purchase reimbursements
Maintain accurate and complete records of purchases and payments made by credit card and check.
Assist in onboarding of staff members through document preparation, collection and filing.
Assist the staff with Planning Center.
Collect and keep accurate and complete contact information.
Keep an accurate list of serve teams and membership roll.
Create and manage registrations and RSVPs for events.
Create digital copies of all physical forms (next steps cards, membership forms etc.).
Print and manage all prayer requests for staff meeting.
Keep our public and internal calendar up-to-date, ensuring that all public events have an image, description and accurate reservation details.
Schedule the full-time staff members to close the building on Sunday morning.

Membership management.
Preparing and sending first-time giver letters.
Coordinate Child Dedications and Baptisms.
Communicate with the staff.
Coordinate staff fellowship and development events.
Create the ProPresenter presentation playlist each week including:
Sermon slides
Song slides
Announcement slides
Pre-Service Roll
Track weekly attendance and metrics.

Assemble and distribute “The Weekly.”
Keep website pages current (i.e. remove any past information from ministry pages, add/edit calendar events to the upcoming events calendar, add/remove links from the Instagram link in bio)
Replace the “Get involved” fliers in the wall weekly
Collect all needed information from relevant staff members

Keep an accurate stock of each product through Squarespace’s online store manager.
Prepare orders to be picked up on Sunday mornings.
Fulfill orders and train others to fulfill orders.
Manage product information, pricing, pictures and marketing information in Squarespace’s online store manager.
Order stock from our merchandise supply company.
Background Preferences
Strong communication skills and customer service experience.
Strong writing and editing skills and content creation experience.
Web content management and website design skills (basic HTML knowledge is a plus)
E-commerce and online store management experience.
Proficiency with the following software: Microsoft Office, Planning Center, ProPresenter, Squarespace, Mailchimp, Church Metrics.
Previous experience dealing in administrative tasks in an office environment.

Church membership: if not currently a member, willing to become one
Work Schedule
40 hours a week paid hourly.
